How we use your information

To allow you to take part in elections in the University or DUSA, we use some of your personal data to verify your identity and your eligibility to vote. Your vote remains secret and the University and/or DUSA cannot see how you cast your ballot.

The University or DUSA may look at anonymised data to determine trends in voting patterns, but will never use this information to identify any individual.

Personal data

To verify the identity of students and to confirm their eligibility to vote in any election we may use: student ID; first name; last name; University email address; student type; year of study; mode of study; course code; or department code.

To verify the identity of staff and to confirm their eligibility to vote in any election we may use: staff ID; first name(s); last name; preferred name; title; University email address; School or Professional Service.

Sensitive (special categories) of personal data

No sensitive personal data is used when verifying identity or eligibility to vote.

Sensitive personal data may be processed anonymously for equal opportunities monitoring related to the holding of elections.

Data controller

The data controllers for the personal information used in verifying identity and eligibility are the University of Dundee and Dundee University Students’ Association. The University has appointed Membership Solutions Limited as its provider of election management software.

Lawful processing

The data controllers assert that it is lawful for it to process your personal data for the purposes detailed above in the legitimate interests of the data controllers which are without prejudice to your rights, freedoms or interests (until 25 May 2018).

The data controllers further assert that it is lawful for it to process your personal data for the purposes detailed above in the exercise of their official authority and the performance of a task in the public interest (from 25 May 2018).

Your rights

The University and DUSA respect your rights and preferences in relation to your data. If you wish to update, access, erase, or limit the use of your information, please let us know by emailing complaintsresolution@dundee.ac.uk or ssquire@dusa.co.uk.
